Fees

At The Glow Centre, we are transparent about our fees and available rebates, ensuring you can make informed decisions about your choice of mental health care provider.

Our fees reflect the professional care provided by our experienced psychologists, and are below the recommended 2024-2025 Australian Psychological Society (APS) fee of $311 for 46-60 minute session.

Fees listed are current from 1st July 2024.

​*Phone coaching

Phone coaching is timetabled and not available 24/7. It is subject to availability and participant suitability which can be discussed during the initial DBT assessment. Phone coaching is for the purpose of homework practice and is not crisis support. â€‹Phone coaching timetable will be provided to enrolled participants before the start of each module. 

Fees for other services: if you need a psychologist’s letter, report, or form for school, university, work, or other support purposes, please note this is a separate service with its own fees and processing times. Payment of fees

Billing types

We are a private practice, we do not bulk bill or invoice third parties for payment.

Payment due

We do not require that clients pay for the entire DBT program upfront, payment is required as follows:​​

  • ​DBT assessment + individual DBT session payment: due at the time of your appointment, and is scheduled to process automatically whilst you are in session. â€‹

  • DBT skills group payment:

    • payment is required at the start of each module (modules run one at a time - see section: Skills group structure and duration for more information about timetabling). ​​​

    • we require an initial deposit of $180 to secure your place in the group, due approximately 2-3 weeks prior to the start of the module. The deposit contributes to the cost of the module and is not an additional charge. 

    • balance payment for the module is due and payable no later than 1 week prior to the start of the module.​​​​

  • Phone coaching payment: required at the start of each module, and is payable with the module balance payment 1 week prior to the start of the module. 

HOW PAYMENTS ARE PROCESSED​

​​​​​​​​Payment method 

There are no cash or EFTPOS facilities at The Glow Centre, only online processing is accepted. Your credit/debit card details are therefore required to access The Glow Centre services and must be provided before your first session can go ahead.

How online payment works 

The Glow Centre uses Halaxy for all aspects of our clinical practice, which is a global platform for clinical software utilised by many different types of medical and health practitioners, including psychologists. Once your details are entered into Halaxy, they will not be fully visible to any staff at The Glow Centre (we will only be able to see the name on card, the last 4 digits of the card number and the expiry date). Your stored card will only be used for services and fees applicable to you in accordance with our fees and policies agreement. ​We can then separate the financial and clinical relationship so we can focus solely on your treatment.

​More about Halaxy security 

Halaxy is protected by 256-bit bank grade security and encryption, which means records, notes and payment information is protected to the same level used in banking and financial institutions. All information is encrypted and stored in a securely protected data centre in Australia with multiple backups in place. Your data is hosted on servers with state-of-the-art security and are located within Australia.

Referrals and rebates

Medicare referrals and accessing rebates

Clients may be eligible for a limited number of Medicare rebates, however, the time and support required for effective DBT exceeds the number of Medicare-rebated sessions available. See our page What to expect: your commitment to DBT for more information about the commitment required to embark on your DBT journey.  

You do not need a referral to book with us, although you may be eligible for a Medicare rebate if you have a valid referral from your medical doctor (GP or psychiatrist). Please book a long appointment with your doctor to discuss if you are eligible for referral.

Accepted referrals

We accept GP Mental Health Treatment Plans (MHTP) and Psychiatrist assessment and management plans. Referrals must be provided to us prior to your first appointment with us. 

 

​​​​Referral format​

​​Medicare have strict guidelines regarding referrals and accessing rebates. A valid referral must be in writing, signed and dated by the referring medical practitioner. The referral letter must be dated on or before the date of the therapy session or skills group session to be eligible for rebate claim. Letters of referral or recommendation from other allied health professionals are not valid for Medicare claiming.

Note: the total number of rebates claimable with allied health professionals is 10 individual and 10 group, not per allied health professional. Please consider this if you have already seen a practitioner elsewhere in the current calendar year (1 January - 31 December).

We can lodge your Medicare rebate claim electronically on your behalf, and Medicare will process the rebate to the bank account that you have registered with Medicare. Medicare rebates are usually paid within 1 to 3 business days after a claim is successfully submitted. Make sure your bank details are up to date with Medicare to avoid any delays. Contact Medicare directly if you experience any rebate claim issues or delays.

Individual DBT session claims will be processed electronically after the session fee has been paid in full. Skills group rebate claims are processed on a weekly basis, after the weekly skills group session. 

 

Medicare rebates can only be claimed for attended individual appointments and skills group sessions.

You cannot claim a Medicare rebate for missed appointments or skills group sessions, or for late cancellation fees.

Private Health Claims

​​​We do not deal directly with private health funds; however, we can provide you with a paid invoice to submit your claim. Contact your fund for information about claiming eligibility and rebate amounts.

Attendance policy

DBT assessment and individual sessions

Our attendance policy was developed with the awareness that when appointments are booked, both the clinician and the client will make that time available for therapy and your clinician will spend time and resources preparing for your session. 

 

If you need to cancel or reschedule your appointment, please provide us with 48 hours’ notice or a fee will be charged. 

​​

Applicable fees: 

  • If between 24-48 hours' notice is provided = $50 fee

  • If less than 24 hours' notice is provided or you do not attend your appointment = 100% of the session fee

 

To support flexibility and avoid cancellation fees, we offer several convenient options for cancelling appointments — including via phone, email, or SMS. We also provide courtesy appointment reminders sent with advance notice to enable clients sufficient time to contact us outside of 48 hour's notice to avoid a cancellation fee. ​

The impact of late cancellations and missed appointments

A late cancellation or non-attended appointment is a loss to three people:

  1. The client – as it delays your therapeutic progress and continuity of care

  2. Another client – who may have been waiting for an opportunity to access support

  3. Your clinician – who has invested time preparing for your session and set aside that time for your care

 

We kindly ask that you let us know as early as possible if you’re unable to attend, so we can offer the time to someone else in need and make best use of our clinicians’ time and availability.

Rebates and missed appointments

Please note that Medicare and private health rebates can only be claimed when a service has been provided. This means that cancellation fees or fees for missed appointments are not eligible for any rebate.

Clients are responsible for the full cost of these fees, as they fall outside the scope of claimable services.

Telehealth requests

​We understand that, at times, events may be beyond your control and there can be genuine reasons for late cancellation. In many cases, there is the option to change your appointment to a telehealth (video) session. Contact our admin team before the time of your appointment via phone, email or SMS and they can assist you. ​We will do our best to accommodate telehealth requests, but admin may require approval by your clinician before making the change.

We generally do not switch to a phone or telehealth session at short notice if you are running late. Effective therapy cannot be conducted while you are driving or in transit, and we have concerns regarding safety, privacy, and your ability to remain focused during the session.

Informed consent

​We are committed to being transparent about our cancellation policy. ​Clients are informed of our policies, including cancellation fees, in our client consent form which accompanies our intake documentation provided to clients prior to engaging our services. 

Other elements of the DBT program

​Further to our attendance policy and expectations for individual sessions, there are also specific commitment requirements for other elements of our DBT program. This includes attending all scheduled skills group sessions, staying for the full duration of each session, and notifying our admin team before the session begins if you will be running late.

​

We provide clients with detailed program information and sufficient time to consider their participation before confirming a place. For this reason, refunds are generally not issued for module payments, as your place in the group is secured and resourced in advance.

​

Please note that no refunds will be issued for missed group sessions or unused phone coaching fees. This ensures fairness to all participants and allows us to maintain the structure and sustainability of the program.
